Terms of service

Note for the operator of this site: this page is a plain-language starting point written alongside the software. Have it reviewed by a lawyer before you take paying customers — particularly the sections on liability, VAT and jurisdiction.
1. What we provide
EmbassyFile is web-based software for recruiting agencies: passenger records, embassy e-file assembly and printing, manpower and delivery tracking, agent ledgers and accounting. We provide it as a service over the internet. We do not act as your agent, we do not submit anything to any embassy or ministry on your behalf, and we do not check whether the information you enter is correct.
2. Your account
You are responsible for who you give logins to and for what they do with them. Keep passwords private, remove staff who leave, and tell us promptly if you think an account has been misused. Each workspace belongs to one agency; you may not resell access or share your workspace with another agency.
3. Your data
The records you enter remain yours. We store and process them only to provide the service to you. We do not sell them, we do not use them to train anything, and we do not share them with another customer. See the privacy policy for the detail.
You are responsible for having a lawful basis to hold the personal information of the people in your records — passport details, addresses, family names — and for telling them what you do with it.
4. Trial and payment
Every plan starts with a 30-day free trial. Nothing is charged during it and no card is taken. If you continue after the trial, we raise a monthly invoice for the plan you chose. You pay by bKash, Nagad, Rocket, bank transfer or cash, and we mark the invoice settled once we have confirmed the payment.
Prices are in Bangladeshi taka. We will give you at least 30 days' notice before changing the price of a plan you are already on.
5. Late payment
If an invoice passes its due date your workspace stays open — we do not lock an office out of work in progress over a payment that is a few days late. If it stays unpaid we will contact you, and we may eventually suspend access. Suspension does not delete anything.
6. Ending it
You may stop using EmbassyFile at any time; tell us and we will close the workspace at the end of your paid period. We do not refund part-months. If you ask, we will send you a complete copy of your data. We keep a closed workspace for 90 days in case you come back, and remove it after that unless you ask us to sooner.
We may suspend or close an account that is being used unlawfully, that is being resold, or that is deliberately disrupting the service for others. Except where the law requires otherwise, we will tell you why.
7. Availability
We aim to keep the service available and to keep backups, but we do not promise uninterrupted access. Maintenance, hosting failures and problems at third parties all happen. Where we can, we will give notice.
8. Limits on our responsibility
The software helps you keep records; it does not guarantee that any application will be accepted, that any document will be correct, or that any deadline will be met. Those remain your responsibility. To the extent the law allows, our liability to you in any twelve-month period is limited to the fees you paid us in that period.
9. Changes
We may update these terms. If a change materially affects you we will tell you by email before it takes effect. Continuing to use the service after that means you accept the change.
