Paying for EmbassyFile by bKash, Nagad or bank transfer

There is no card on file and nothing charges you automatically. How an EmbassyFile invoice is raised, how to pay it by bKash, bank transfer or Nagad, and what happens after you submit the TrxID.

You pay for EmbassyFile by sending money the way your office already does, by bKash, Nagad or bank transfer, and then telling us the transaction ID from the Billing screen inside your workspace. There is no card on file and nothing is ever charged automatically. A person at our end checks the payment against the account it was sent to and marks the invoice paid.

Why there is no card or payment gateway

Most recruiting agencies in Bangladesh do not pay their suppliers by card. Money moves by mobile banking, bank transfer or cash across a desk. A billing system built around a card gateway would be built for somebody else's customers. So the process is the one your office already uses for everything else: an invoice, a payment, a reference number.

The free trial

Every plan starts with a thirty-day free trial with nothing to enter for payment. If you decide to pay during the trial, the free days you have left are kept, not lost.

When the invoice is raised

An invoice is raised seven days before your current term ends. It shows on the Billing screen, under Administration in the sidebar, along with your plan and your past invoices and payments. The current monthly price for each plan is on the pricing page and on your Billing screen.

How to pay, step by step

  1. Open Billing and press Pay now.
  2. Choose how many months you are paying for: one, three, six or twelve. The total for each is shown beside it.
  3. The screen shows the accounts to send money to, with instructions for each.
  4. Send the money from your bKash or bank account.
  5. Enter the Transaction ID (TrxID), which is the TrxID from the bKash confirmation SMS or the reference number from your bank.
  6. Optionally add the number or account it was sent from, a screenshot of the receipt, and a note.
  7. Submit.

The Billing screen lists the payment accounts that are currently published, which is normally bKash and bank transfer. If you would rather pay by Nagad, Rocket or cash, contact us first. We can record a payment that arrived another way from our side, and it counts exactly the same.

What happens after you submit

Your submission is a claim that you have paid. Three things follow:

  • Your workspace opens straight away. You do not wait for us to check before you can work.
  • The invoice stays unpaid until we verify it. Someone at our end matches your TrxID against the account it was sent to.
  • Once verified, the invoice is marked paid and your paid period runs from there.

A transaction ID can only be submitted once. If you see a message saying it has already been used, check the number on your receipt; if it is correct, contact us.

If a payment cannot be matched

If we cannot find the money, the claim is rejected and the reason is shown to you on the Billing screen. If your trial or paid time has run out, the workspace asks for payment again until the problem is fixed. In practice this is almost always a mistyped TrxID, and the fix is to submit the correct one.

When your trial or paid time runs out

You can still sign in. Instead of being turned away at the login screen, you land on the Billing screen with the pay form ready, and you can sign out from there too. Your data is not deleted because a trial ended or an invoice is late.

Which plan to pay for

  • Starter: passengers, embassy files, manpower, delivery, setup and administration, for up to three logins.
  • Business: everything in Starter plus agents, accounts and reports, and expenses, for up to ten logins.
  • Enterprise: everything, including directors, payroll and MOFA wallets, with no limit on logins.

Key points

  • No card is stored and nothing charges you automatically.
  • Pay by bKash or bank transfer from the Billing screen and submit the TrxID; contact us for Nagad, Rocket or cash.
  • Submitting a TrxID opens the workspace immediately; the invoice is marked paid once verified.
  • You can pay for one, three, six or twelve months at a time.
  • Paying during the free trial keeps the free days you have left.

Frequently asked questions

Can I pay for EmbassyFile with bKash?

Yes. Send the amount to the bKash number shown on the Billing screen, then enter the TrxID from the confirmation SMS in the pay form.

Can I pay for EmbassyFile by Nagad?

Yes. Contact us before paying by Nagad, Rocket or cash, and we will record the payment from our side once it arrives. The self-service pay form lists the accounts currently published, normally bKash and bank transfer.

Do I have to wait for the payment to be verified before using the software?

No. Submitting a transaction ID opens your workspace straight away. The invoice is marked paid when we have matched the payment.

Is my data deleted if I do not pay on time?

No. A lapsed workspace asks for payment when you sign in, but your records are kept.
