Recruiting agency software vs spreadsheets: where Excel breaks

Excel is a good place to start a recruiting agency and a poor place to run one. The five places a spreadsheet quietly fails once files, agents and staff multiply.

A spreadsheet works for a recruiting agency until the number of open files, agents and staff outgrows the one person who understands it. Recruiting agency software does not do anything a careful person with Excel cannot do; it does it every time, for every file, without depending on that person being at the desk.

Most agencies in Bangladesh started on a spreadsheet, and many still run on one. That is not a mistake. It is free, everybody knows it, and for a small office it is enough. The question is where it stops being enough, and the answer is usually not "when it gets big". It is when one of the following starts happening.

Where does a spreadsheet first break?

1. Dates that nobody is watching

A passenger file is a set of dates with deadlines attached: passport expiry, medical date, police clearance, visa expiry. A spreadsheet stores them perfectly well. It does not look at them. Conditional formatting helps until somebody inserts a column, copies a sheet, or types a date as text, and then the red cell that should have warned you simply is not red.

The cost arrives as a resubmission: a medical repeated, a passport renewed, a file that went back a step because a date expired while it sat in a queue.

2. The same passenger twice

Two staff members, two copies of the file, or one row typed again because nobody could find the first. Spreadsheets do not know that two rows describe the same human being. A passport number typed with one character different is, to Excel, a different passenger.

3. Money with no file attached

Agent payments are where spreadsheets hurt most. An amount, a date and an agent's name can be totalled, but if the row does not say which passenger the money was for, the total cannot be explained. When an agent disputes a balance, the argument is always about why, and a spreadsheet that only knows how much has nothing to say.

4. Everyone sees everything

A spreadsheet is one file. Whoever can open it can read the agent balances, the office expenses and every passenger's details, and can change any of them. Hiding a sheet is not a permission. Passwords on workbooks are shared within a week.

5. No history

When a figure changes, the old figure is gone. If an amount was edited from one value to another last Tuesday, nothing records who did it or what it was before. In a dispute with an agent, a passenger or a partner, that missing history is the whole problem.

What changes with dedicated manpower software

Dedicated manpower software in Bangladesh is built around the recruiting process rather than around rows and columns. The practical differences are:

  • Dates are checked, not just stored. Expiring passports and medicals are listed for you instead of waiting for someone to scroll.
  • One record per passenger. Every desk — embassy file, manpower, delivery, cancellation — refers back to that record rather than keeping its own copy.
  • Money is tagged. Each agent transaction can name the passenger it belongs to, so a statement explains itself.
  • Access is per person. Each staff member logs in as themselves, with the screens their role allows.
  • Changes are logged. Who changed what, and from what to what, is recorded.

When is a spreadsheet still fine?

If you run a handful of files a month, one person does all the data entry, and agents are paid on the spot, a careful spreadsheet may be all you need. The signal to move is not size but friction: the second time a file fails because a date was missed, or the first time an agent statement cannot be explained, the spreadsheet has already cost more than the alternative.

Moving without losing what you have

  1. Clean the spreadsheet first: one row per passenger, one passport number per row, dates as real dates.
  2. Decide which agents and balances are current and settle the old ones on paper before moving, so the new system starts from figures everybody agrees with.
  3. Move active files first. Closed files can follow, or stay archived.
  4. Give each staff member their own login from day one, rather than sharing one.

EmbassyFile is one example of this kind of software: passenger records, embassy e-file assembly, manpower and delivery tracking, agent ledgers and office accounts in one place, with a 30-day free trial on every plan so an office can run real files through it before deciding.

Key points

  • Spreadsheets fail at watching dates, preventing duplicates, explaining agent money, controlling access and keeping history.
  • The signal to change is repeated friction, not office size.
  • Recruiting agency software keeps one record per passenger and checks dates for you.
  • Clean your data before moving, and settle disputed balances first.

Frequently asked questions

Is Excel enough for a small manpower agency in Bangladesh?

For a few files a month with one person entering data, often yes. It becomes a problem when several staff edit the same file or when agent balances start to be disputed.

What is the biggest risk of running a recruiting agency on spreadsheets?

Missed expiry dates. A passport or medical that expires while a file waits leads to a resubmission, and a spreadsheet does not warn anyone unless someone is looking at the right cell.

Can I move my existing Excel data into recruiting agency software?

Usually, yes, once the data is clean: one row per passenger, consistent passport numbers and real dates. Settle old agent balances before moving so the new records start from agreed figures.

Does recruiting agency software replace my accountant?

No. It keeps the records your accountant needs in order and tied to files, but decisions about tax and statutory accounts remain with a qualified professional.
