For Bangladeshi recruiting agencies

Every passport, every e-file, every taka — in one place.

EmbassyFile replaces the registers, the spreadsheets and the shared folder. Passenger records that the embassy paperwork prints itself from, agent ledgers that actually balance, and reports your office can hand to an auditor.

Try the real software before you sign up

A sample agency already filled with passengers, e-files, agents and accounts. Open every screen, print the embassy sheets, enter a passenger of your own — nothing you do touches anybody’s real data.

Built around how a recruiting office actually works

Not a generic CRM with the words changed. Every screen came out of a real desk.

Passenger files that stay complete

One record per passport, with the passport, visa, MOFA and police clearance dates on it. The system tells you what is missing before the embassy does — an expiring passport or a lapsed clearance is caught at the desk, not at the gate.

Saudi embassy e-files, printed correctly

Scan passports into a batch, order them by hand, and print the Royal Embassy of Saudi Arabia’s Arabic send list and four-sheet application set straight from the browser — properly shaped, properly right-to-left, exactly as the embassy expects it.

Manpower and delivery tracking

BMET registration, training certificates, visa issue and expiry — then the hand-over. Every passport that leaves the office is signed for, and every cancelled file keeps its history.

Agent ledgers that balance

Money in and money out per agent, tagged to the file it belongs to. Ask any agent’s position on any date and get a statement you can print and send.

Accounts across cash, bank and bKash

Every entry names the account it moved through, so the drawer, the bank and the mobile wallets each have a balance you can check against reality. Office expenses, salaries and director capital included.

MOFA wallets, in dollars

Prepaid MOFA balances tracked in the currency they are actually held in, with the conversion rate recorded per recharge and spending attributed file by file. No adding dollars to taka by accident.

What each one actually does

Working the same afternoon

Software like this is expected to take a month and a consultant. Here is the whole of it.

  1. Create the workspace

One form. Your agency’s name, your RL number, an owner login. Thirty days free, no card.

  2. It arrives already loaded

Districts, thanas, professions and payment methods are seeded for you — the reference data every agency needs and nobody wants to type.

  3. Add your staff

Give each person a login and decide what they can reach. The plan decides how many logins; the roles decide who sees the money.

  4. Start entering passengers

The first e-file can go out the same afternoon. Nothing to install, nothing to configure, nobody to send on a course.

The four things everybody wants to know

Your workspace is yours alone

Every record carries the agency it belongs to and every query is restricted to it. No other agency can list, search or open your passengers by guessing a link.

No card, ever

Thirty days free with nothing to enter. After that we raise an invoice and you pay it by bKash, Nagad, Rocket, bank transfer or cash. Nothing charges you automatically.

Your data leaves when you do

Every list exports and every report prints, at any time. If you leave, ask and we send a full copy of your workspace. Nothing is deleted because a trial lapsed.

Working the same afternoon

Nothing to install and nobody to send on a course. The workspace arrives with the districts, thanas, professions and payment methods already loaded.

Questions worth asking first

Who can see our passenger data?

Only your own staff. Each agency gets its own workspace, and every record in the system is tied to it — your passengers, your agents, your accounts. Nobody at another agency can list them, search them or open one by guessing a link.

Where is our data kept, and is it backed up?

On our own managed servers, not on a machine in anybody’s office. It is backed up on a schedule, and the backups are kept off the server they were taken from. Your workspace is separate from every other agency’s, the connection is encrypted end to end, and you can take a full copy out at any time — every list exports and every report prints. If you ever close the account, ask and we send you the whole workspace.

Which country’s embassy paperwork does this cover?

Saudi Arabia. The send list, the consular visa application, the forwarding letter and the employment agreement are the Royal Embassy of Saudi Arabia’s own sheets, and the visa dates are handled in the Umm al-Qura calendar the Saudi visa is dated in. Everything else — passenger files, BMET and manpower tracking, agent ledgers, MOFA wallets, accounts and reports — is not country-specific and works the same whichever market you send to. If you send to Saudi Arabia, this prints your paperwork; if you do not, you get the office and money side but you will still type your own embassy forms.

How do we pay?

bKash, Nagad, Rocket, bank transfer or cash. We raise an invoice with a reference number, you send the money and submit the transaction id, and we mark it confirmed. There is no card on file and nothing charges you automatically.
