Medical fitness validity: planning a file so the medical does not expire

A medical done too early expires before the worker flies, and the worker pays for it twice. How to time the medical so it is still valid when the file needs it.

A medical fitness certificate is only useful while it is valid, and its validity window starts on the day of the test, not on the day the file needs it. Planning a file so the medical does not expire means booking the test late enough that it still covers the embassy and manpower steps, but early enough that an unfit result is known before money is spent elsewhere.

Repeating an expired medical is one of the commonest avoidable costs in an overseas employment file. It is avoidable because the window is known in advance and the steps after the medical are known in advance. The only thing that goes wrong is timing.

How long is a medical valid?

That depends on the destination country and the medical system it uses, and it can change. Confirm the current validity period with the approved medical centre or the destination's official guidance before you plan around a number. Do not rely on what applied to the last batch.

What does not change is the shape of the problem: a fixed window, opening on the test date, that has to stay open until every later step that checks it is done.

Why do medicals expire mid-file?

The medical was taken first "to be safe"

It feels sensible to get the medical out of the way early. The trouble is that everything after it — visa, attestation, embassy submission, manpower clearance — has its own waiting time, and those waits do not pause the medical's clock.

A delay elsewhere ate the window

A demand that took longer to attest, a visa that came late, or an embassy batch that missed its day can each push the file past the medical's expiry without anybody touching the medical.

Nobody was counting

The medical date is recorded but the days remaining are not visible. A file sits in a pile and the date passes unnoticed.

How should a file be sequenced around the medical?

  1. Confirm the demand and the visa path first. There is little point testing a worker for a job that may not proceed.
  2. Check the passport. A passport close to expiry will stop the file anyway; fix that before paying for a medical.
  3. Book the medical when the next steps are in sight, not when the file is opened. Work backwards from the expected submission date.
  4. Count the days remaining at every step. At embassy submission and again before manpower clearance, check the medical still has time left.
  5. Plan a fallback. If a step is delayed and the medical will expire first, decide early whether to wait or retest, and tell the worker who pays.

Who pays when a medical expires?

In practice it is too often the worker, which is exactly why it matters. If the delay was the agency's, absorbing the cost is the fair answer. Either way, agree it before the retest rather than after.

Tracking medical validity in software

A countdown is more useful than a date. Knowing that a medical was taken on a particular day means arithmetic; knowing it has twelve days left means action.

In EmbassyFile, the passenger list shows each file's medical date with the days left beneath it, coloured as the window runs down and red once it has passed. The validity period is a setting your office controls under Site Settings, Eligibility Rules, so it can follow whatever the destination currently requires. The countdown is shown once the MOFA is active, and when assembling an embassy file the system refuses a passport whose medical is past its window, with the reason on screen, as long as that check is switched on.

Key points

  • The medical's validity starts on the test date, not when the file needs it.
  • Confirm the current validity period with the medical centre or the destination country's guidance.
  • Book the medical when the next steps are close, working back from submission.
  • Check days remaining at each step, not just the test date.
  • Agree in advance who pays if a retest is needed.

Frequently asked questions

When should a worker do the medical test for overseas employment?

When the demand and visa path are confirmed and the remaining steps are close enough that the medical will stay valid through submission and clearance. Taking it as soon as the file opens is the usual cause of expiry.

What happens if the medical expires before departure?

The worker normally has to take the test again, which costs money and time. Count the days left at each step so the expiry is seen early enough to plan around.

How do I know the current medical validity period?

Ask the approved medical centre or check the destination country's official guidance. The period can differ by destination and can change, so confirm it for each batch rather than relying on memory.

Can software warn me before a medical expires?

Yes. A system that shows days remaining against each passenger, rather than only the test date, makes an expiring medical visible while there is still time to act.
